What to Ask a Wedding Decorator Before Booking

Twenty-two questions, a line-by-line guide to reading a decoration quotation, the deposit norms that are actually standard in Malaysia, and nine things that should make you walk away.

Most couples pick a decorator from a mood board and a price. The mood board is the easiest thing in this industry to produce, and the price is meaningless until you know what sits underneath it. Knowing what to ask a wedding decorator before booking is the difference between a quotation you can compare and a number you simply have to trust. Everything below comes from building stages in KL and Selangor ballrooms, dewan and gardens — including the constraints that only surface at 11pm on load-in night.

The five documents you should have before paying a deposit

If a decorator cannot produce these five things, you are not buying a design — you are buying an intention.

  1. A scaled elevation or 3D render with dimensions on it. Not a Pinterest collage — width, height and depth of the backdrop. A render with no numbers cannot be checked against the venue.
  2. An itemised quotation. One line reading "Wedding decoration package — RM 28,000" is not a quotation. Structure, materials, florals, lighting, labour, transport and management must be separated.
  3. A named flower list with a substitution clause. Which blooms, how many stems, and what happens if the imported flowers do not clear at the right grade that week.
  4. A venue-specific production plan. Load-in time, crew size, install duration, strike time — proof the decorator has checked your venue's rules rather than assumed them.
  5. A written payment and cancellation schedule, including what happens if you postpone.

How to read a wedding decoration quotation, line by line

Two quotations for the same wedding can differ by RM15,000 and both be honest. The difference is almost always hidden in how each one words its lines. Use this as a translation table.

The most useful test: ask both decorators to re-issue their quotation using the same line structure. Whoever can do it within a day has a real cost base; whoever resists is protecting a margin they cannot explain. Deposit, payment and cancellation norms in Malaysia

These are the terms most established decorators in the Klang Valley work to. Anything materially outside this range deserves a question, not an argument.

Insist on two clauses: that a postponement moves your deposit rather than forfeiting it, and that a date change is re-quoted at the original rates unless it crosses into a peak window. Both are far easier to secure before you have paid anything.

Nine red flags in an event decoration quote

  1. A single lump sum with no line items, presented as "our package".
  2. Renders with no dimensions — and reluctance to add them.
  3. No site visit offered for a venue the decorator has never worked.
  4. Silence on rigging and load-in — the two costs that most often surface after signing.
  5. Portfolio images that are all renders, or sourced from overseas accounts, with no photographs of their own installed work. Ask to see completed jobs — ours are in the showcase.
  6. A deposit above 60% demanded before any drawing has been issued.
  7. A management fee above roughly 10–12% of the subtotal with nothing described against it.
  8. Payment requested to a personal account with no company invoice or SSM number.
  9. A price that undercuts every other quote by 40%. That gap is usually rented structures priced as custom, fresh flowers swapped for faux on the day, or a strike crew that was never budgeted.

The interview runs both ways. A decorator who is not asking these has not planned your install yet.

Frequently asked questions

How far ahead should I book a wedding decorator in Malaysia?

Six to nine months for a Saturday in a five-star Kuala Lumpur ballroom, and nine to twelve months if your date falls in the June–August or November–December clusters. A custom-fabricated backdrop needs eight to ten weeks from approved drawing to install, so booking three weeks out usually means choosing from stock structures rather than a build.

Is a deposit for wedding decoration refundable?

Almost never in full. In Malaysia the standard is 50% on confirmation and 50% one to three days before the event, and the deposit covers design time, material orders and a held production slot. What you should negotiate instead is a postponement clause that transfers the deposit to a new date within twelve months, and clarity on whether a date change triggers a re-quote.

Should the decorator or the couple deal with the hotel?

The decorator should, and you should ask for it in writing. A decorator who has worked the venue before already knows the load-in dock, the lift dimensions, the rigging policy and the banquet team's strike deadline, and will handle the operations form and any rigging or detector-isolation fees directly with the hotel rather than routing them through you.

What is a fair price for a site visit or venue recce?

Within the Klang Valley a first site visit is normally free and treated as part of winning the job. Outstation surveys — Penang, Johor, Kota Kinabalu — typically carry a RM300 to RM800 travel charge, which a reasonable decorator will credit back against your final invoice if you confirm.

Use the questions before you use the mood board

Every question above exists because something once went wrong on a load-in: a backdrop that would not clear a ceiling, a rigging fee nobody mentioned, a strike crew that was never quoted.
