Hotel Ballroom vs Dewan Wedding Decoration: What Each Venue Actually Costs to Dress
The hotel ballroom vs dewan wedding decoration question is usually asked the wrong way round. Couples pick the venue on room rental and per-head catering, then ask a decorator what it will cost to dress. But the venue contract has already set the decoration budget — a bare community hall that saved you RM18,000 in rental can add RM12,000 to RM25,000 in flooring, power and structure before anyone talks about flowers.
The real variable: what the venue gives you for free
Decoration cost is not driven by taste as much as by baseline. Every venue hands you a starting condition, and the gap between that condition and the photograph the couple has in mind is the invoice. A ballroom at St Regis KL, Grand Hyatt KL, Shangri-La KL, W KL, Four Seasons or Mandarin Oriental starts a long way up that ladder. A dewan komuniti in Shah Alam or Kajang starts at a tiled floor and a bank of ceiling fans.
| Baseline item | 5-star hotel ballroom | Dewan / community hall | Garden or estate lawn | Convention centre |
|---|---|---|---|---|
| Floor finish | Carpet, event-grade, included | Tile, terrazzo or cement | Turf, gravel or paving | Carpet or sealed screed |
| Air-conditioning | Included, zoned | Fans, sometimes split units | None | Included |
| Power | 3-phase, distribution boards nearby | 13A sockets, single-phase | None or a single house tap | 3-phase, metered |
| House lighting | Dimmable, warm, chandeliers | Fluorescent or cool LED, non-dim | Daylight then nothing | High-bay, cool, non-dim |
| Ceiling height | Typically 5–7m in flagship ballrooms | Typically 3.2–4.5m, fans at 3m | Unlimited — and unusable | 8m+ |
| Rigging points | Existing, often policy-restricted | None | None | Rated grid, chargeable |
| Tables, chairs, linen | Included with catering | Basic banquet, often plastic | Rented in full | Rented or included |
| Load-in window | 4–6 hours | 1–2 full days | 1–2 days, weather permitting | 1 day, by tenancy |
Read that table as a cost ladder. Every "none" and every "basic" in the dewan and garden columns is a line item that has to be rented, trucked, powered and struck. That is the mechanism behind the counter-intuitive rule below.
Hotel ballroom vs dewan wedding decoration: the cost comparison
Below is an indicative decoration-only budget for the same brief in four venue types: a 400-guest Malaysian wedding reception with a built stage backdrop, an entrance moment, an aisle, 40 table centrepieces and event lighting. Catering, venue rental, AV, photography and entertainment are excluded. Figures are Klang Valley ranges for 2026 and move with fabrication complexity and fresh-floral volume.
| Line item | Hotel ballroom | Dewan / hall | Garden + marquee | Why it differs |
|---|---|---|---|---|
| Stage backdrop & platform | RM 8,000 – 35,000 | RM 9,000 – 32,000 | RM 11,000 – 38,000 | Outdoor needs ballast and weatherproofing; hall needs its own riser |
| Entrance & walkway | RM 3,500 – 12,000 | RM 4,500 – 14,000 | RM 5,000 – 16,000 | Hotels have a lobby already; halls and lawns have a car park |
| Table centrepieces (40 tables) | RM 6,000 – 28,000 | RM 6,000 – 28,000 | RM 7,500 – 32,000 | Near-identical indoors; outdoor adds wind weighting and replacements |
| Floor covering | Included | RM 4,000 – 14,000 | RM 8,000 – 22,000 | Carpet or laminate at roughly RM8–18/sq ft, plus subfloor on turf |
| Ceiling, drapery, fan concealment | RM 0 – 9,000 | RM 6,000 – 20,000 | Included in marquee lining | A hall's fans, beams and cool tubes must be covered or lived with |
| Lighting & power distribution | RM 3,000 – 15,000 | RM 6,000 – 18,000 | RM 9,000 – 26,000 | Halls and lawns need cabling runs; house circuits will not carry it |
| Generator | — | RM 0 – 1,800/day | RM 1,200 – 4,500/day | 20–60kVA silent set, delivery and diesel included |
| Marquee / structure | — | — | RM 12,000 – 45,000 | Clearspan, lining, flooring, cooling |
| Cooling (outdoor) | — | RM 1,500 – 6,000 | RM 6,000 – 20,000 | Packaged air-conditioning units or high-volume fans |
| Labour, transport, strike | RM 3,500 – 11,000 | RM 5,000 – 14,000 | RM 7,000 – 20,000 | Longer builds, more trips, night strike premiums |
| Indicative total | RM 24,000 – 110,000 | RM 42,000 – 148,000 | RM 67,000 – 223,000 | Same design brief, three different starting rooms |
The headline is that the venue everyone assumes is the budget option is the one that costs most to decorate, and the lawn that photographs best is the most expensive room in Malaysia to build. If you want the same figures broken down by design element rather than by venue, that sits in our guide to what wedding decoration costs in Malaysia.
Hiasan majlis perkahwinan di dewan: bare shell, bigger build
A dewan is the most common venue for a Malay majlis perkahwinan outside the hotels, and it is genuinely good value — but only if you go in knowing what you are buying. Five things decide the quotation:
- Power is the first conversation, not the last. Most community halls offer 13A wall sockets on a single-phase supply. A modest lighting rig, two packaged cooling units and a fresh-floral cooler will trip that supply. Either the hall has an accessible three-phase DB you are permitted to tap, or you bring a 20–60kVA silent generator. Ask which, in writing, before signing. This single answer swings the quotation by several thousand ringgit.
- Ceiling fans sit at about 3 metres, dead centre. They are where your chandelier, your floral cloud or your draped ceiling wants to be. Options are: concealment with a full drape ceiling, designing around them in a grid pattern, or accepting them in frame. There is no fourth option, and removing them is almost never permitted.
- The floor is a photograph problem. Terrazzo and grey tile bounce cool light up into faces and read cold on camera. Carpet or laminate runs roughly RM8–18 per square foot supplied and laid; for a 4,000 sq ft hall that is a real number, and it is often the highest-impact single spend in the room.
- House lighting cannot be dimmed. Non-dimmable cool-white tubes at 5000K will fight every warm uplight you install. The workable approach is to switch the house lights off over the stage and dining zone entirely and light those areas yourself — which means your lighting budget is doing a job the hotel would have done for free.
- You get time. The compensation is real. A hall typically gives one to two full days of access, so cure times, on-site fabrication, foam soaking and careful floral work are all possible. In a hotel ballroom they are not.
For Malay wedding staging specifically, the pelamin is the dominant spend in a dewan and its proportions change with that 3.2–4.5m ceiling — a stage designed for a 7m ballroom looks squat in a hall. We covered those proportions in pelamin design ideas for 2026.
The hotel ballroom: you pay for polish and lose control
A ballroom removes most of the build cost and replaces it with rules. These are the constraints that most often force a redesign after a venue is booked:
- No drilling into ceiling slabs. Common at the KL five-stars. A hanging installation over the head table must load through existing rigging points, if they exist and if they are rated for your weight, or sit on ground-supported truss. Ground support consumes floor area you had allocated to tables, so it changes the seating plan, not just the design.
- Four to six hours to build. A ballroom running a lunch event releases around 2pm for a 6.30pm reception. That window has to absorb the previous event's strike, your build, AV focus and the banquet team's table re-set. Anything needing adhesive cure time or on-site foam soaking is at risk.
- The service lift, not the design, sets panel size. Measure the car. A 2.4m backdrop panel will not enter a 2.1m lift, so it is fabricated in sections with concealed joints — a factory decision made weeks earlier, not a site fix.
- Outside-vendor terms. Some hotels levy an external decorator access or supervision fee, require a security deposit against damage, mandate in-house AV for anything patched into house systems, and insist on public liability cover with the hotel named. Budget for it and ask for the figure at contract stage.
- No open flame, no loose petals. Naked-flame candles and confetti or loose petals on ballroom carpet are refused almost universally. LED-core candles and contained petal arrangements are the accepted substitutes.
- Strike happens the same night. Most ballrooms want the room clear by midnight or 1am, which means a night crew at premium rates. Check whether next-morning strike is available; when it is, it saves real money.
None of this is a reason to avoid a ballroom. It is a reason to get the venue's technical rider and décor policy in hand before approving a design — the questions to ask are in what to ask a wedding decorator before booking.
Garden and lawn: the rain contingency is the design
Garden wedding decoration in Malaysia is priced around one question, and it is not an aesthetic one. Malaysia has no dry season worth planning around. The Klang Valley gets convective afternoon storms most of the year, concentrated between roughly 3pm and 7pm — exactly when an outdoor ceremony runs. The inter-monsoon periods in April–May and October–November are the wettest for the west coast; the northeast monsoon from November to February is what matters on the east coast and in Sabah and Sarawak.
There are only three honest wet-weather positions, and the couple must pick one at booking:
| Wet-weather position | What it costs | What it risks |
|---|---|---|
| Marquee over everything. Ceremony and dinner both under a lined clearspan from the start. | Highest fixed cost — RM12,000–45,000 for structure, lining, flooring and cooling | Nothing weather-related. You have bought certainty. |
| Dressed indoor alternative. A hall or function room on site, decorated to a reduced but finished standard. | Roughly 30–50% of a second scheme, plus a second crew on standby | Guests move mid-event; the two rooms must feel related |
| Umbrellas and hope. No structure, no second room. | Nothing upfront | Everything. Fresh florals, uplights and sound are not rain-rated |
Wedding marquee decoration cost in Malaysia is dominated by the structure itself, not the styling — a 10m × 20m lined clearspan with flooring and cooling will typically absorb half the outdoor decoration budget before a single stem is ordered. The other outdoor realities worth pricing in: tall floral structures act as sails and need water-barrel ballast rather than turf stakes on soft ground; 5mm acrylic warps above roughly 40°C in direct sun and comes off the material list entirely for daytime use; imported peony and hydrangea have six to ten hours out of a cooler in Malaysian heat, which is why heat-tolerant tropical wedding flowers and preserved stems dominate outdoor work here; and a decision deadline must be written into the contract naming who calls the switch to the wet plan and by what hour — typically six to eight hours before guest arrival, because a marquee cannot be dressed in twenty minutes.
Where the money moves when you change venue
Same total budget, three venues. This is roughly how the proportions redistribute, and it explains why a design that looked affordable in a ballroom stops working in a hall.
| Budget share | Hotel ballroom | Dewan / hall | Garden + marquee |
|---|---|---|---|
| Stage, backdrop, entrance — the photographed items | ~55% | ~35% | ~25% |
| Florals and tablescape | ~25% | ~20% | ~18% |
| Infrastructure — floor, ceiling, power, structure, cooling | ~8% | ~30% | ~42% |
| Lighting | ~7% | ~10% | ~9% |
| Labour, logistics, strike | ~5% | ~5% | ~6% |
The practical reading: in a ballroom, more than half your money lands in the frame of every photograph. In a garden, more than 40% of it goes into things guests will never consciously notice — a subfloor, a generator, a cable ramp, a cooling duct. That is not waste; it is the price of the location. But a couple choosing a lawn on the basis of a ballroom quotation is going to be surprised, and the surprise usually lands two weeks before the date.
Seven things to settle before you sign the venue contract
- Get the décor policy and technical rider in writing. Rigging permissions and weight limits, drilling, open flame, confetti, adhesive on walls, external vendor fees, insurance requirements. One page that prevents a five-figure redesign.
- Confirm the exact load-in and strike hours. Not "the afternoon before" — a start time, an end time, and whether next-morning strike is permitted.
- Measure the service lift and the widest doorway. Height and depth. Give both numbers to your decorator before fabrication drawings are approved.
- Ask what the power supply actually is. Single or three phase, amperage, whether you may tap the DB, and where the nearest board sits relative to the stage.
- Measure ceiling height at the stage position, not the centre of the room. Halls and ballrooms both have soffits, beams and bulkheads that the floor plan does not show.
- Establish who supplies tables, chairs and linen. "Basic banquet included" and "event-grade included" are very different starting points, and chair covers for 400 guests is a line item in itself.
- For anything outdoor, write the wet-plan trigger into the contract. Name the decision-maker and the deadline hour. Verbal understandings fail in exactly the situation they exist for.
Frequently asked questions
Is hotel ballroom vs dewan wedding decoration really cheaper in a hotel?
For decoration alone, usually yes — a ballroom arrives with carpet, cooling, dimmable light and power already in place, so you are dressing a finished room rather than building one. For the total wedding cost, usually no, because the hotel recovers it through a per-head catering minimum. The correct comparison is venue rental plus catering plus decoration as one figure, assessed together before either contract is signed.
How much does it cost to decorate a dewan komuniti in Selangor?
A modest but properly finished scheme in a community hall — pelamin or stage, entrance, basic ceiling treatment, carpet over the tile and warm lighting — generally starts around RM18,000 to RM25,000 for 300 to 400 guests. Fully draped ceiling, custom fabrication and fresh-floral volume move it into the RM45,000 to RM90,000 band. The hall rental itself is often under RM2,000, which is precisely why the decoration figure surprises people.
Can a hall be made to look like a hotel ballroom?
Close, and the levers are predictable in order of impact: cover the floor, treat the ceiling, kill the house lighting and replace it with warm uplight at 2700–3000K, then soften every hard vertical surface with drape. Those four moves do more than any amount of floral spend. What cannot be bought is ceiling height — a 3.5m hall will never carry a chandelier scheme, so the design should go horizontal and layered rather than tall.
How much extra should a garden wedding budget for weather?
Plan on 25–40% above the equivalent indoor decoration budget if you are committing to a marquee from the outset, and treat that as the real cost of the venue rather than an add-on. A dressed indoor backup instead runs roughly 30–50% of a second scheme. Budgeting nothing is the only genuinely expensive option, because the loss when it rains is the entire spend.
Which venue type photographs best?
Gardens at golden hour and ballrooms after dark, for opposite reasons — one has free directional light, the other has total light control. Halls are hardest because the existing cool overhead light is both unflattering and non-dimmable, which is why the lighting line item in a dewan quotation is not optional.
